The Portland Bureau of Transportation (PBOT) has solicited letters of intent from organizations interested in providing communications and/or operations for the 2024 Last Thursdays on Alberta Art Walk event occurring June 27, July 25, and Aug. 29 from 6-9 p.m. Total budget for these two areas of work is $10,000.
PBOT currently provides for and coordinates logistics during Last Thursday events, including private security, traffic control, trash and recycling service, as well as portable toilets. We’re currently seeking vendors for two service areas as outlined below:
COMMUNICATIONS: Organization/entity to conduct outreach to and communicate with both vendors and the community; provide messaging consistent with program information outlined by PBOT; provide timely response to inquiries from attendees and those interested in vending; conduct outreach to the King, Vernon, Concordia, and Sabin neighborhood associations and request time to present at their meetings; maintain an event website and social media presence; and attend all events in person to provide direct support and outreach to attending vendors.
OPERATIONS: Organization/entity to lead operations throughout the event; coordinate logistics with PBOT; coordinate all vendor setup and breakdown; ensure smooth operations during the event; ensure event ends properly; work with security staff and prepare all vendors so streets can be reopened at 9 p.m.; hire at least one entertainment and/or cultural activity for each month’s event, at least three total; and, after each event, provide PBOT with a detailed report (at least 1-2 pages) about attendance, special activities, strengths and challenges, issues needing resolution, along with at least five photos from the event. Please note: PBOT will provide training for operations related to reopening the roadway.
Letters of interest must be received by PBOT by Wednesday, April 17, 2024 at noon. Organizations/entities may send letters encompassing both service areas or as a partnership between multiple organizations to cover both services, with budgets for both areas not to exceed $10,000 total. PBOT staff will determine vendors based on experience with operating large events and with community partnerships, as well as a demonstrated ability to succeed with tasks listed above.
The successful candidate(s) will be selected by April 19 and will receive a detailed scope of work prior to responsibilities commencing. Candidates are required to carry insurance.
