Archives & Records Management has assembled relevant resources that will help guide you through the process of managing your records.  Listed below are categories of questions you may have about records; click on the category to learn more about each topic.  Before moving forward, if your bureau has a records liaison be sure to first check with them to see if your bureau has specific guidelines you need to follow.

The eLearning training, Records Management for City Employees, is the best way to get started and is mandatory for City employees.  To register, go the CityLearner page and use “Records Management for City Employees” as the search term and then select find.

There are two essential questions you need to ask when it comes to dealing with your records:

  1. Are these records either past their legal retention or are they copies of official records maintained elsewhere?

    If you answered “yes” to this question, then the records should be destroyed.  Please go here for more information about destroying records.
     
  2.  Do I need immediate access to these records on a daily basis?

    If you do not need immediate access, consider sending the records to the Portland Archives & Records Center (PARC) for storage.  Requests to check out records stored at PARC are normally processed and in the inter-office mail within 24 hours.
